1. Getting started with MeetingTrack
With the “register” button, you can easily create an account. You do not need payment details because the first month is always free, so make use of it.

Now, easily set up your Workspace (the company) and invite colleagues. After that, you can immediately start using the tool.

You can reset your password on the login screen by clicking on ‘Reset Password’. We will send an email to the provided email address with a reset button ‘Reset Password’. When you click this button in the email, you can immediately enter a new password.
You do this by adding the topics as references in the ‘References’ menu option. The decisions you make during the meeting can then be linked to each other via the reference. This way, you can build a dossier per project, proposal, or any other freely customizable category.
2. Collaborate
In every meeting, you have the option to add external participants. You invite them via email, and immediately after the meeting, they receive a link to the minutes and tasks.
External participants do not need a paid account to view minutes in MeetingTrack or to handle tasks resulting from the meeting.
You can also choose not to send the minutes immediately after the meeting but separately as a PDF.
Yes, when creating a meeting, you can add both internal and external participants. An internal participant is someone who is part of your workspace. If you want to invite someone who is not connected to your workspace, you invite that person as an external participant. People who are not part of the meeting but need to be informed with the minutes can be added as an informed user.
You can invite your colleagues to your ‘workspace’. You do this by navigating to workspace » users. You can add a colleague to a specific team via workspace » teams. Once your colleagues have been added to the workspace, you can also invite them to meetings and collaborate on creating decision lists.
When you have a meeting open, you will find several buttons at the top. With the “PDF” button, you can download the agenda or minutes as a PDF and then send it to the participants yourself. When you conclude your meeting with the “Finish” button, you’ll get the option to automatically send the minutes as a PDF to the participants. Even after finishing, you can still do this automatically with the “Share Minutes” button.
3. Meeting and taking minutes
After creating the minutes, you will find the PDF button at the top left. This allows you to export the minutes or agenda as a PDF. Other data cannot be exported at this time.
Private decision lists are hidden from anyone who is not added as a participant or informed user, allowing you to include sensitive information in your decision lists without anyone else having access to it.
Within the app, navigate to ‘Meetings’ and create a new meeting. You will then go through several steps to set up the meeting. Once you have created the meeting, you can click the ‘Start’ button under the ‘Minutes’ section. Now you can add the agenda items.
You can upload your own letterhead with logo and texts. You do this by filling an A4-sized image with your letterhead. An A4 paper image template can be downloaded via our app in JPG or PSD format. You can upload your letterhead via the “Workspace” tab, then “Settings” and finally “Letterhead”. From there, the necessary steps and templates can be found.

MeetingTrack is available in Dutch and English.
All participants can see the live minutes being recorded. The minutes can only be updated by the chair or secretary of the meeting. When creating a new meeting, the organizer/creator can set the roles and choose who the secretary and chairperson are. Only one person can take minutes at a time. You can easily hand over the minute-taking to someone else by clicking the ‘Start taking minutes’ button at the top right.

Through the settings button at the top right, you can click on Support, among other options. Here you can contact our support center. You can also email us at support@meetingtrack.ai or call us at +31 (0)88 5054330 (Monday to Friday, 08:30 to 17:00).
Yes, certainly, we’d be happy to help! You can do this through customer service. They can be reached via support@meetingtrack.ai or through the support button at the top right corner of the website.
On the dashboard, you can see your tasks and upcoming meetings at a glance. If you have set up the mobile app, you will receive push notifications for your new tasks and tasks that are nearing their deadline.
For the desktop version, an up-to-date browser such as Google Chrome or Microsoft Edge is recommended with a stable internet connection. For mobile/tablet, the latest version of iOS or Android is recommended.
7. Payments and subscriptions
To cancel or make changes to a license, go to Workspace » Settings » Billing Settings. Under this tab, you can find all settings related to licenses, including canceling licenses.
Every user needs one MeetingTrack user license. The licenses are transferable, as they are not tied to one specific user. So, you only pay for the employees who actually use the app. You pay per ‘active’ user. Furthermore, it’s important to know that you only ever need one license per person, which allows you to join an unlimited number of workspaces. So if you work for multiple companies or want to use MeetingTrack for your club, you won’t need an additional license. You or the workspace owner can decide from which workspace your account receives a license.
MeetingTrack offers a single all-inclusive package priced at €9.95 per month or €99.50 per year per user. By purchasing an annual subscription, you effectively get 2 months free (a 17% discount).
It’s important to note that you only need one license per person, which allows you to join an unlimited number of workspaces. Therefore, if you work for multiple companies or wish to use MeetingTrack for your association, you do not need an additional license for that.
