Privacy is of great importance to MinuteTrack B.V. (hereinafter referred to as “MeetingTrack“). MeetingTrack uses its users’ personal data in a respectful and secure manner. It respects users’ privacy and is fully committed to protecting their personal data. Therefore, it uses users’ personal data transparently. This privacy policy describes how MeetingTrack collects, uses, processes, and shares users’ personal data in connection with our services.

Data Controller and Processor

This privacy statement is limited to the processing of personal data for which MeetingTrack can be considered the data controller.

MeetingTrack is also the processor concerning any personal data that its customers enter into its system when using that system (“Customer Administration“). The customer is the data controller for that personal data. This privacy statement does not cover processing concerning the Customer Administration.

Information Collected by MeetingTrack

MeetingTrack has data available that is provided by the data subject themselves, as well as data potentially provided by third parties.

  1. Personal Information: This may include, but is not limited to, name, email address, phone number, employer, and job title.
  2. Usage Data: Details about how you use our services, including interactions with the software and logs.
  3. Cookies and Tracking Technologies: We may use cookies and similar tracking technologies to monitor activity on our services and retain certain information. Cookies are small data files stored by the browser on the data subject’s computer.

How MeetingTrack Uses and Retains Data

  • To deliver and maintain our services. The retention period is seven years after the end of the agreement. This retention period is due to the fiscal retention obligation. Additionally, it is necessary to retain this data for five years in connection with the expiration of possible legal claims arising from the agreement.
  • To inform you about changes to our services. For as long as necessary for this purpose, but at least for five years after sending/receiving the email or for five years after terminating the account with MeetingTrack, whichever of these periods expires last;
  • To provide customer service and support. The retention period is three years after the end of the agreement.
  • For analysis and improvement purposes of our services. A maximum of two years after visiting the website.
  • To prevent fraud and abuse. MeetingTrack may process personal data in the context of fraud detection. In that case, the data will not be used longer than necessary for this purpose.

Sharing and Disclosure of Personal Data

MeetingTrack does not share personal data with third parties, except in the following cases:

  • With the consent of the data subject.
  • For processing transactions and services.
  • To comply with the law, a judicial order, or to protect our rights.

MeetingTrack takes the security of personal data seriously and implements appropriate technical and organizational measures to protect users’ personal data from unauthorized access, alteration, disclosure, or destruction.

Rights of the Data Subject

The data subject has the right to access, correct, delete, or restrict the processing of their personal information. The data subject can also object to the processing of their personal data and has the right to data portability.
